Operations Manager

TIME COMMITMENT:  

MON – FRI 9 AM – 2 PM/ 30 hours per week
(limited flexibility)

REPORTING STRUCTURE

The Operations Manager will work under the direction of the Executive Director of Kate’s Kart.

GENERAL PURPOSE OF THE ROLE

The Operations Manager will oversee the volunteer program and daily operations of the organization ensuring good community relations are maintained.

RESPONSIBILITIES/DUTIES

The Operations Manager is responsible for assisting the Executive Director with general administration and office operations for Kate’s Kart, Inc. Responsibilities include, but are not limited to:

  • Manage Volunteer Program including scheduling, interviewing, training, spotlights, confidentiality, and vendor agreements with partnering health care organizations.
  • Maintains knowledge on current and emerging trends in industry, assesses the impact, and collaborates with the Executive Director to incorporate new trends and developments in current and future solutions.
  • Champions and enhances organizational initiatives by positively influencing and supporting change management and Kate’s Kart initiatives.
  • Serves as a resource to the Executive Director on more complex assignments/projects.
  • Maintains, manages, and works to enhance all reporting and donor databases.
  • Manages all sourcing and inventory.
  • Assists with communications, public relations, and social media platforms.
  • Assists with grant writing as requested, specifically gathering data
  • Assists with committees for special events including ice cream social, Festival of Trees, etc.
  • Manages all daily office operations

QUALIFICATIONS

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Teams).
  • Interest in the mission of Kate’s Kart and some knowledge of the community health network is a plus
  • Demonstrates ability to identify and recommend processes improvements.
  • Proficiency with Social Media Platforms such as Facebook, Instagram, Twitter, ext.
  • Demonstrates ability to successfully interview, retain, develop and coach volunteers via a culture of real-time feedback, with ability to build both technical and leadership skills.
  • Demonstrates excellent organizational skills with the ability to prioritize workload and multi-task while maintaining strict attention to detail.
  • Demonstrates strong interpersonal skills with a collaborative style.
  • Demonstrates the ability to use sound judgment and discretion regarding confidential information.

  • Ability to read, analyze and interpret both internal and external documents such as general media/publications, professional journals, technical procedures, governmental regulations, policies, proposals, and standard operating procedures.
  • Apply concepts such as probability, statistics, modeling, percentages, ratios, and proportions to practical solutions.
  • Works with mathematical concepts such as averages and/or variances.
  • Confident, comfortable communicator with strong written and verbal communication skills willing to speak in public.
  • Remains current in profession and industry trends.
  • Makes a positive contribution as demonstrated by: – Making suggestions for improvement – Learning new skills, procedures and processes
  • Performs other duties as required.

PHYSICAL DEMANDS

  • Must be able to lift up to 25lbs and be able to get down to ground level
  • While performing the duties of this job, the employee is frequently required to sit, use hands to handle & feel & talk, hear & see.
  • The employee is occasionally required to stand, walk & reach with hands & arms
