PROGRAM ASSISTANT

Kate’s Kart is seeking an experienced and passionate Program Assistant to assist and collaborate with the Executive Director with all operational and administrative functions of the organization, including overseeing the volunteers, book inventory, donor relations and general office procedures.

Hours: Monday- Friday 9:30 AM- 2:00 PM Approximately 20-25 hours per week

Work Arrangement:  In office (10376 Leo Road, Fort Wayne, IN  46825)

The Role at a Glance

As the Program Assistant, you will serve as the primary office contact for Kate’s Kart and be responsible for day-to-day office activities including standard reporting to support business operations. You will also coordinate volunteer services and training for the organization and assist with donor relations and Kart stocking.

What you’ll be doing

  • Promote the vision and mission of Kate’s Kart in collaboration with peers, board members, and key community members.
  • Develop and maintain office duties, including but not limited to customer service, inventory, and reporting.
  • Assist with Kart restocking, loading books into company vans, driving to local hospitals as needed.
  • Assist with marketing outlets (newsletters, annual reports, social media) and basic marketing needs.
  • Coordinate volunteer onboarding, hospital relations, scheduling, and activities.
  • Collaborate with executive director to plan, organize, and facilitate special projects, tasks, and events as needed.
  • Collaborate effectively with executive director on complex office issues and conflicts that impact time, cost, scope, quality, and risk of assigned projects, develop and execute mitigation plans.
  • Develop and maintain reporting for key metrics to determine organizational value and quantifiable gauges to support organizational growth and development.
     

What we’re looking for

  • 3+ years of general office experience that directly aligns with the specific responsibilities for this position.
  • Strong working knowledge of Microsoft Office.
  • Passion for Kate’s Kart mission and commitment to the communities that we serve.
  • Demonstrated ability to successfully engage potential volunteers, donors, community members and potential staff to further support the mission of Kate’s Kart.
  • Demonstrated strong attention to detail including ability to coordinate and balance multiple projects in a time-sensitive environment, under pressure, and meeting deadlines.
  • Ability to work independently and collaboratively on day-to-day task and special projects.
